Before you write

What to include

Sending these four things with your first message usually gets you a firm number the same day rather than a round of questions first.

01

Origin & destination

Port, airport or full door address at both ends. City-level is enough to start.

02

Commodity

What it is, plus the HS code if you have one. This drives duty, restrictions and packing requirements.

03

Volume & weight

Container count, or cubic metres and gross weight. For air, include dimensions — chargeable weight is often volumetric.

04

Cargo ready date

When it can be collected. This determines what space we can realistically hold.

05

Incoterms

EXW, FOB, CIF and so on, if agreed with your supplier. If not, we will help you pick sensibly.

06

Deadline

When it genuinely needs to arrive. This is what decides ocean versus air, and we would rather know up front.
